Vendor Guidelines

Packing Slip Requirements

  • Must be included in all shipments
  • The packing slip should be in the lead carton
  • Include the following information:
    • Ship From Name, Address, Zip Code
    • Ship To Name, Address, Zip Code
    • Purchase Order Number
    • Number of boxes
    • Quantity Ordered
    • Quantity Shipped
    • Item description

Routing Requests

Anything from the vendor to Epic should include:

  • Complete shipping facility name and address
  • Contact information (name, email, phone)
  • PO Number
  • Type of load (pallet, slip, floor)
  • If palletized or slip-sheeted, indicate whether the product will double stack
  • Pieces (cartons/pallets), weights, and cube of the entire shipment (including
    pallet weight)
  • Date the merchandise will be ready for pick up

Note: All vendor-delivered Truckload (TL) and Less than Truckload (LTL) orders require
an appointment to be received. Any POs that arrive without an appointment will be
rejected.

Shipment Weight Up to 150 lbs

Use FedEx Ground (unless the product exceeds FedEx Ground limitations)

FedEx account number: ___________ / Bill receiver (Will provide if needed)

Provide tracking information to Shipping@epicgardeining.com no later than
24 hours before delivery

Note: For Less-than-Truck-Load (LTL) and full Truck-Load shipments (TL), contact Epic
Gardening for routing instructions. All TL shipments require a delivery appointment.

Bill of Lading Requirements

All bills of lading must include the following information:

  • Address of actual origin/shipping location (including zip code)
  • Purchase Order Number(s)
  • Accurate commodity description
  • Freight terms agreement: (collect or prepaid)
  • Shipment Date
  • Total Carton and/or Pallet Count
  • Total Shipment Cube and Weight

Pallet and Case Labeling Requirements

To optimize the receiving process and ensure accuracy of goods being received,
products must be clearly labeled as follows:

Packing Instructions

  • Each package cannot exceed 50 lbs
  • Do not mix different SKUs in the same package

Single SKU Pallets

Pallets containing only one SKU should have a placard or label with the following
information:

  • Boxed Item Number
  • Purchase Order Number
  • Total Number of Boxed Selling Units

Non-Single SKU Pallets or Loose Cases

For any co-mingled pallets or cases shipped via parcel carrier, the pallet should
have a placard or label with the following information clearly stated.
Labels/placards should be placed on the shrink wrap of the pallet:

  • Boxed Item Number (include each unique item)
  • Purchase Order Number
  • Total Number of Boxed Selling Units (by item)

Pallet and Stacking Requirements

  • All shipments must be palletized on 48′ x 40′ wood pallets in good condition
  • Pallets should not have any missing, split, or broken boards
  • Use slip sheets below the bottom product layer to protect inventory when
    applicable
  • Use slip sheets between product layers to ensure product stability
  • Palletize the product in a manner where there is no overhang or underhang
  • All products on the pallet should be shrink/stretch wrapped, with the wrap
    extending down the pallet to ensure stability during transit
  • Use corner boards to provide additional support when needed
  • We will not accept double-face pallets
